Position Summary
EqualAI is searching for a detail-oriented Program Manager to support the coordination of our AI governance initiatives and AI literacy programs from concept through completion, helping advance our mission of helping companies, policy makers, and leading institutions define and implement AI governance in support of innovation and broader AI adoption. The ideal candidate is organized, proactive, and dedicated to providing exceptional support at every turn. This role demands expertise in program coordination, stakeholder engagement, event facilitation and communications. This person must have excellent multitasking abilities. The best candidate is someone who can manage daily operational details while maintaining a strategic view to ensure our initiatives have maximum impact.
Objectives of this role
- Support the management of all aspects of program coordination.
- Nurture and build relationships with industry partners, policymakers, and AI governance experts.
- Support AI literacy and AI governance initiatives through efficient program and operational execution.
- Establish procedures and prepare materials to ensure program success.
- Maintain accurate records and handle sensitive information with discretion.
Responsibilities
- Coordinate with internal staff and external stakeholders to establish programs and events, and serve as liaison to executive leadership, government officials, and industry partners throughout implementation.
- Support EqualAI programs by creating and managing program documentation, tracking engagement, and distributing educational materials.
- Plan and facilitate logistics for all programs, including managing digital platforms, coordinating communications, preparing presentation materials, and organizing events.
- Support the management of the EqualAI program website, publish content, create and maintain digital resources for programs.
- Assist with the creation of presentations for internal and external audiences, collaborating with experts on content development.
- Oversee partner experiences from initial engagement through follow-up; ensure consistent, high-level service throughout all phases of interaction.
- Provide budgetary assistance through accurate expense tracking and payment processing, as needed.
- Troubleshoot any issues that arise during program execution.
Required skills and qualifications
- Bachelor's degree
- 2-3 years of experience in program coordination, operations, or related roles
- Strong interpersonal and communication skills
- Excellent organizational abilities, including multitasking, time management, and attention to detail
- Proficiency with Google products and virtual collaboration tools
- Demonstrated initiative and critical thinking skills
- Discretion in handling sensitive information
- Ability to work both independently and as part of a team
Preferred skills and qualifications
- Experience working with or on Capitol Hill
- Knowledge of AI governance concepts and trends
- Experience with event planning and stakeholder management
- Experience in non-profit operations, technology policy, or AI-related fields
Compensation & Benefits

Event Specialist
EqualAI is searching for an experienced specialist to manage production from concept through completion, helping maintain our reputation for memorable events. The ideal candidate is passionate, creative, detail-oriented, and dedicated to providing superb client service at every turn. This role demands an expert in all aspects of event, meeting, and conference planning, including cost containment, venue scouting, equipment logistics, room setup, and best practices. This person must also have excellent leadership skills and an ability to work seamlessly with a small and passionate team. The best candidate is an event planner who can manage the daily details and use big-picture thinking to ensure truly unique experiences.
Objectives of this role
- Manage all aspects of event planning, meet strict deadlines, and stay within budget.
- Nurture and build relationships with vendors, venues, and speakers/participants.
- Identify and solve operational challenges.
- Establish procedures and prepare the team to execute them.
- Comply with legal, insurance, health, and safety regulations at all times.
Responsibilities
- Coordinate with internal staff and vendors to establish the requirements for an event, and serve as liaison to senior executives, government officials, and industry leaders throughout the planning process.
- Locate resources, visit sites, and lead pre-event meetings to help staff make decisions about event design.
- Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and marketing materials.
- Oversee experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases.
- Help facilitate social media and website amplification and advertising.
- Troubleshoot any issues that arise on event day.
Required skills and qualifications
- Proven success in event planning or coordination
- Strong interpersonal and communication skills
- Experience in building and maintaining positive business relationships
- Excellent organizational skills, including multitasking, time management, and attention to detail
- Ability to handle pressure and make good decisions quickly
Preferred skills and qualifications
- Bachelor’s degree (or equivalent) in event management or related discipline
- Experience on Capitol Hill, political fundraising or media event planning

By partnering with thought and industry leaders, EqualAI fosters AI practices that promote adoption and greater societal benefit.The EqualAI law fellow helps in a range of products that are pivotal to our mission including: legal analyses, briefings, and other written products. A successful candidate will have strong research and writing skills and will be detail-oriented.
Responsibilities and Duties
Strong research and writing skills and professional experience required. Specific duties include:
- Analysis: Review and synthesize AI policy/legislative developments on Capitol Hill, executive agencies, US courts, and governments outside of the US, attending relevant meetings and events as needed.
- Drafting: Draft articles that translate AI for the general public and targeted audiences, particularly the legal community; create podcast background and questions, policy memos, speeches, newsletters, op-eds; and other documents as needed.
- Podcast Research: Researching and drafting questions and preparation materials for EqualAI’s podcast In AI We Trust?
- Provide Briefings: Brief EqualAI’s President & CEO with talking points in preparation for keynotes, panels, and other events.
- Produce key materials: Create resources for our members and programs, including our Continuing Legal Education (CLE) course for Lawyers, our Legal bootcamp for AI readiness, and the EqualAI Badge© Program.
- Other projects and responsibilities as they arise and/or as they relate to individual experience/interests.
Requirements and Qualifications
- Strong research skills

- Experience working with legislative and administrative policy process is welcome but not required
- Experience in researching or contributing to the production of podcasts is desirable but not required
- Excellent written and verbal communication skills.

Experience with AI, social media or podcasts is a bonus but not necessary.
Responsibilities and Duties
Strong research and writing skills and professional experience required. Specific duties include:
- Drafting: social media copy, blog posts, newsletters, and other documents as needed.
- Briefing: EqualAI’s President & CEO with background & TPs in preparation for events and meetings and preparing In AI We Trust co-hosts for podcast recording sessions.
- Monitoring and Assessing: news in the AI domain, including technical, legal, governmental, or industry developments.
- Producing: resources for our members and programs, including our EqualAI Badge© Program and Continuing Legal Education (CLE) course for Lawyers.
- Other projects and responsibilities as they arise and based on candidate’s experience and interests.
Requirements and Qualifications
- Strong research, communication, and organizational skills.
- Detail oriented.
- Experience in writing and communications for corporate executives and the general public. Experience in writing materials for other audiences, such as lawyers and policymakers, are a bonus but not required.
- Experience with AI, social media, podcasts, or the legislative policy process are welcome but not required.
