Position Summary

EqualAI seeks a highly organized, proactive, and detail-oriented Program Manager to provide comprehensive support to our executive team. The ideal candidate will play a critical role in ensuring the smooth operation of daily activities, maintaining efficient communication, supporting program development and execution, and contributing to the success of our mission. This role requires exceptional multitasking skills, discretion, and a passion for supporting initiatives that advance equity and responsible AI development.

Key Responsibilities

Operations and Administrative Support

  • Assist in organizing events, workshops, and board meetings, including logistics and participant coordination.

  • Maintain and update organizational files, databases, and contact lists.

  • Collaborate with team members to support project deadlines and operational goals.

  • Manage complex calendars, including scheduling meetings, coordinating appointments, and resolving conflicts.

  • Organize travel arrangements, including booking flights, accommodations, and ground transportation.

  • Prepare meeting agendas, take detailed minutes, and follow up on action items.

  • Handle correspondence, including emails, phone calls, and written communication, with professionalism and efficiency.

Executive Communication

  • Serve as a liaison between executives and internal/external stakeholders.

  • Support executive communications and program logistics, including meeting preparation, and follow-up actions to ensure efficient execution of organizational priorities.

  • Draft, proofread, and edit documents, presentations, and reports.

  • Ensure timely responses to inquiries and requests for information.

Program Support

  • Support program development initiatives focused on responsible AI, including research coordination, timeline management, and stakeholder engagement, while supporting executive leadership with day-to-day operations.

  • Assist with fundraising and corporate member outreach activities, including tracking commitments and new partnership opportunities.

  • Assist in creating and maintaining program documentation, tracking deliverables, and coordinating with external partners to advance EqualAI’s equity-focused initiatives in AI development.

Qualifications

Required Skills and Experience

  • Bachelor’s degree or equivalent experience.

  • 2+ years of experience as an Executive Assistant, Policy Advisor, Program Manager or in a similar role, preferably on Capitol Hill or similar workplace.

  • Exceptional organizational and time-management skills.

  • Strong written and verbal communication skills.

  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google products, and other productivity tools.

  • Proven ability to handle confidential information with discretion.
    Strong attention to detail and ability to anticipate needs.

Preferred Skills

  • Experience with nonprofit operations and governance.

  • Experience with the DC policy environment.

  • Familiarity with AI, technology, or equity-focused initiatives.

  • Comfort with virtual collaboration tools (e.g., Zoom, Slack).

Compensation and Benefits

EqualAI offers a competitive salary commensurate with experience, along with a comprehensive benefits package, including health insurance, paid time off, retirement contributions and opportunities for professional growth. The salary for the position will start at $73,000/year.

Executive/Special Assistant

Summary

EqualAI is looking for an Executive/Special Assistant to provide high-level organizational support for various lines of effort. Responsibilities include: facilitating communication within the company and with external stakeholders; coordinating logistics for external engagements; managing invitations and materials for our podcast, In AI we Trust?; assisting with our EqualAI Badge© Program for senior executives; developing briefings for meetings with senior corporate executives and government policymakers; and other tasks and responsibilities based on individual interest and/or executive/organizational need. Familiarity with the mechanics and societal impacts of artificial intelligence, social media, or podcasts are welcome but not necessary. Responsibilities and Duties

The EqualAI Executive/Special Assistant is a crucial part of the team and provides a range of high-level organizational functions in support of our operations and mission. Strong organization skills and professional experience required.

Specific duties include:

  • Screen incoming emails and other correspondence and prioritize items that require immediate attention.
  • Schedule meetings, briefings, and other engagements for EqualAI leadership.
  • Coordinate and prepare materials for meetings, including: agenda, briefings, and other meeting logistics.
  • Manage logistics for internal and external engagements.
  • Prepare, edit, and/or transmit correspondence, presentations, and reports on behalf of the Executive and organization. Assist with follow up, including drafting emails and preparing supplementary materials.
  • Conduct research for various projects and initiatives. Prepare resources for our members and program participants.
  • Manage financial tasks, collaborate with vendors and suppliers to ensure smooth payment processing. Support the Executive in expense reporting and reimbursement processes.
  • Collaborate cross-functionally across the organization and with other stakeholders to facilitate effective communication and ensure timely completion of projects.
  • Help manage social media platforms.
  • Assist in matters related to the Executive’s role as the Chair of the National AI Advisory Committee.
  • Maintain confidentiality of sensitive information and exercise discretion when handling matters of a confidential nature.
  • Other projects and responsibilities as they arise based on the needs of the Executive and/or as they relate to individual experience/interests.

Requirements and Qualifications

  • Bachelor’s degree and 2+ years relevant professional experience.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines and scrupulous attention to detail.
  • Strong written and verbal communication skills, including excellent proofreading and editing abilities.
  • Professional demeanor and strong interpersonal skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to work independently, take initiative, and make sound judgments.
  • Experience and interest in communicating with corporate executives, lawyers and policymaker audiences, the general public, and other key stakeholders.
  • Experience in preparing podcasts, social media, and/or the legislative and administrative policy process is welcome but not necessary.
